Resource Administrator – The Crown Estate, Windsor Great Park

Artisan People are assisting our client and are recruiting for a number of key hires within the Windsor Visitor Team. The Windsor Estate covers approximately 15,800 acres and includes Windsor Great Park, the Home Park of Windsor Castle, and Swinley Forest. Windsor is the only Royal Park & Forest managed by The Crown Estate. The Crown Estate is a £14bn real estate business specialising in commercial property in central London, prime regional retail and offshore wind. It also has a substantial rural and coastal portfolio and manages the seabed around England, Wales and Northern Ireland. Established by an Act of Parliament, as an independent commercial business it returns 100% of its annual profits to the Treasury for the benefit of the public finances. This has totalled £2.7bn over the last ten years.

The Windsor Estate welcomes over 5 million visitors every year, making it one of the country’s most visited tourist destinations. The Visitor team manage all visitor communications and engagement, catering, retail and car park services across the Estate.

The business is undergoing an exciting period of transformation with a number of high-profile development projects in the pipeline and this role will support this expected growth and position the business well to consistently deliver the best visitor experience.

Resource Administrator

Job summary

To develop and maintain business/visitor orientated team rotas, engaging with teams as required to ensure we maintain high levels of customer service. Efficiently and control costs. To organise reactive/planned maintenance for all Visitor Buildings and spaces and provide general administrative support.

Key responsibilities

  • Develop long term team rotas and manage holiday requests and other changes to maintain required resource levels
  • Communicate rota changes to the team and deal with queries
  • Prepare management reports on costs and headcount as required
  • Liaise directly with seasonal team to cover rotas as required to maintain resource levels
  • Process overtime and seasonal team timesheets
  • Report sickness absence in line with procedures
  • Liaise with the Buildings team and contractors to organise reactive and ensure accurate records are maintained
  • Liaising with the Buildings team schedule planned maintenance to ensure it is minimising access during periods of high visitor footfall, ensure accurate records are maintained
  • Oversee daily management of cleaning contract and liaise with contractor as required to maintain standards
  • Process orders for consumables, monitor and identify opportunities to reduce usage
  • Monitor energy usage for visitor buildings, report utility readings, record and deal with queries
  • Coordinate team training liaising with the People team/Health and Safety Manager
  • Ensure health and safety records are maintained
  • Prepare new employee induction and training plans
  • Process orders for uniform and PPE

Skills and Experience

  • Previous experience working with scheduling/resource planning environment is essential
  • Demonstrable knowledge of workplace legislation and policies
  • Excellent communication, prioritisation skills and experience of producing clear, succinct correspondence is essential
  • Able to demonstrate positive and adaptable approach to short notice changes
  • Ability to work on their own initiative

Full-time hours 40 hrs per week, usually Monday to Friday 08:00-17:00 with occasional weekend requirement. 

This role is based in Windsor, there is limited public transport around this area so you must be local or able to travel. 

The advert will run for two weeks initially with the option to extend if required. First stage successful candidates will have an initial phone conversation with Artisan People discussing details and location of the role and client and suitability. A second stage interview will be arranged for successful candidates in person at Windsor Great Park.
